Learn how to view and manage incentive distribution records for your offers.


What Are Incentive Distributions?โ€‹

Incentive Distributions are records that document the fulfillment of incentives to recipients. The distribution of incentives on the Incentise platform is a form of record that reflects realityโ€”it documents what has actually been delivered, whether through third-party applications or directly within the platform.

How Incentives Are Deliveredโ€‹

The actual incentives provided by the provider can be delivered through different methods:

Important: For cashback incentives, funds are typically transferred directly to the recipient's account through your payment system or a third-party service. The incentive distribution in Incentise serves as a record of this transaction.

For discount codes, they can be provided directly within the Incentise platform, making the distribution both a delivery mechanism and a record.

When Distributions Are Createdโ€‹

Distributions become available when an offer reaches "Approved Confirmed" status. Before this, there won't be distribution records to manage.


Accessing Distributionsโ€‹

URL: /provider/incentive-offers/incentive-distributions/[incentive_offer_id]

Navigation:

  1. Go to Incentive Offers in your dashboard
  2. Find the offer
  3. Click the three-dot menu (โ‹ฎ)
  4. Select View Incentive Distribution

Alternative: Use the FAB menu on any offer-related page and select View Incentive Distribution.


Understanding the Distribution Pageโ€‹

  • Title: "Incentive Distributions"
  • Description: Shows the associated incentive offer ID
  • Back Button: Return to the offers list

Managing Distributionsโ€‹

Selecting Distributionsโ€‹

  1. Individual Selection:

    • Click the checkbox next to any distribution
  2. Select All:

    • Click the checkbox in the table header
  3. Visual Indicator:

    • Selected rows have a blue background

Editing Selected Distributionsโ€‹

When you select a distribution, editable fields appear:

Updating Distributionsโ€‹

  1. Select one or more distributions
  2. Edit the values in the inline fields
  3. Review your changes
  4. Click "Update Selected (X)" button
  5. Wait for confirmation

Update Resultsโ€‹

After updating:

  • โœ… Success message shows updated count
  • โŒ Error message if any failed
  • Table refreshes automatically
  • Selections are cleared

Recording a Distributionโ€‹

The Distribution Workflowโ€‹

  1. Offer is Approved

    • Status reaches "Approved Confirmed"
    • Distribution records are created
  2. Fulfill the Incentive (Outside Incentise)

    • Process through your payment system
    • Send discount codes
    • Deliver the incentive
  3. Record in Incentise

    • Open the distribution page
    • Select the distribution(s)
    • Update value and description
    • Change status to "Success"
  4. Complete the Offer

    • Once all distributions are recorded
    • Update offer status to "Completed"

Best Practicesโ€‹

Recording Distributionsโ€‹

โœ… Do:

  • Record distributions promptly after fulfillment
  • Include specific details in descriptions
  • Update status accurately
  • Include dates and reference numbers

โŒ Don't:

  • Leave distributions in "Pending" indefinitely
  • Use vague descriptions
  • Forget to update the status
  • Mix up distribution records

Troubleshootingโ€‹

No Distributions Foundโ€‹

Causes:

  • Offer hasn't reached "Approved Confirmed" status
  • No recipients have been approved
  • Wrong offer ID

Solutions:

  1. Check the offer status
  2. Approve the offer first
  3. Verify you're viewing the correct offer

Can't Update Distributionโ€‹

Causes:

  • No distribution selected
  • Network error
  • Session expired

Solutions:

  1. Ensure at least one row is selected
  2. Check your internet connection
  3. Refresh the page and log in again

Update Failedโ€‹

Causes:

  • Validation error
  • Server issue
  • Invalid data

Solutions:

  1. Check the values entered are valid
  2. Try updating one at a time
  3. Contact support if issue persists

Floating Action Button (FAB)โ€‹

The FAB provides quick navigation:

  • View Incentive Offer Details - See full offer information
  • View Messages with Recipient - Open conversation
  • View Group Members - (Group offers) See participants
  • Embed Acknowledgement Widget - (Acknowledged status) Generate embed code
  • View Incentive Program - Open associated program
