Claim Provider Profile

What is Claim Provider Profile?

The Claim Provider Profile flow lets you establish and verify ownership of a provider (vendor) profile that already exists on Incentise—for example, one created by recipients or pre-listed by Incentise. Only legitimate business owners can claim, manage, and respond to incentive requests for that profile.

When you claim a provider profile:

  • You establish ownership of the provider profile
  • You gain the ability to manage the profile and its incentive programs
  • You can respond to customer incentive requests
  • You become the owner of related incentive requests, offers, and distributions

Prerequisites

Before you can create a claim, you must:

  1. Be signed in as an Incentive Provider: You need an Incentive Provider account. If you haven’t set up a profile yet, you can either create a new one or claim an existing provider profile from the Provider Profile page.

Where to Find the Claim Flow

You can start a claim in two ways:

  1. Provider Profile page
    Go to: https://incentise.com/provider/provider-profile

    • If you don’t have a profile yet, you’ll see Setup Provider Profile and Claim Provider Profile.
    • Click Claim Provider Profile to go to the add-claim page.
  2. Claims dashboard
    Go to: https://incentise.com/provider/claims

    • Use the Add Claim action (or navigate to Provider → Claims in the dashboard) to submit a new claim.

Understanding the Claims Dashboard

When you open the Claims page, you’ll see:

Dashboard components

  1. Claims table
    Lists all your claims with these columns:

    • Original Primary Online Presence URL: Your business website or primary online presence URL (clickable)
    • Provider Page URL in Incentise: The Incentise provider profile page URL you’re claiming (clickable)
    • Status: Current claim status (with badges)
    • Created: When the claim was created
    • Updated: When the claim was last updated
    • Actions: Menu with Edit and Input Verification Code (when status is Waiting Verification Code)
  2. Empty state
    If you have no claims, the table shows: No provider entity claims found.


Claim Statuses Explained

Step-by-Step Guide

Step 1: Submitting a new claim

  1. Open the add-claim page

    • From Provider Profile: https://incentise.com/provider/provider-profileClaim Provider Profile, or
    • From Claims: https://incentise.com/provider/claimsAdd Claim (or link to add).
  2. Fill out the form

    • Your Original Primary Online Presence URL
      • Your official business or primary online presence URL (e.g. https://example.com).
      • Must be a valid URL and should match the business that owns the profile.
    • Provider Profile URL in Incentise Web
      • The full URL of the existing provider profile on Incentise.
      • Format: https://incentise.com/<provider-name> (or your environment’s base URL).
      • You can find this by opening the provider’s public profile on Incentise.
  3. Submit the claim

    • Click Submit Claim.
    • You’ll see a success message and be redirected to the claims list.
    • The claim status will be On Process.

Step 2: Editing a claim

You can only edit claims with status On Process. After the status changes, editing is no longer available.

  1. On the Claims page, find the claim in the table.
  2. Open the Actions menu (⋮) for that row.
  3. Click Edit to open the edit form.
  4. Update Original Primary Online Presence URL and/or Provider Profile URL in Incentise Web as needed.
    • The Incentise URL must start with your Incentise base URL (e.g. https://www.incentise.com/ or your domain).
  5. Click Update Claim. You’ll see a success message and be redirected to the claims list.

Step 3: Email verification

After you submit a claim, the Incentise admin team reviews it. If they proceed to verification:

  1. Verification email

    • A verification code is sent to the email address associated with your provider account.
    • Check your inbox (and spam/junk) for the code.
  2. Status

    • The claim status becomes Waiting Verification Code.
  3. Enter the code

    • On the Claims page, open the Actions menu (⋮) for the claim.
    • Click Input Verification Code to open the verification page.
    • Enter the code from the email and submit.
    • Correct: status moves to Pass Verification Code.
    • Incorrect: you may see an error and status may change to Wrong Verification Code.
  4. Final approval

    • After passing verification, wait for admin to approve the claim.

Step 4: After approval

Once the claim is Approved:

  • You become the owner of the provider profile.
  • You can manage the profile and its incentive programs.
  • You can respond to customer incentive requests.
  • Related incentive requests, offers, and distributions are transferred to your vendor account.
  • You can receive email notifications about new incentive requests.

Important Rules and Limitations

When you can edit or delete

  • Can edit/delete: Only when status is On Process.
  • Cannot edit/delete: When status is anything other than On Process.

Verification code

  • Verification codes can expire. If yours has expired, contact support or wait for a new one.
  • Enter the code exactly as received (e.g. numeric digits only).
  • Repeated wrong codes may set status to Wrong Verification Code.

URL requirements

  • Original Primary Online Presence URL: Must be a valid URL (your business / primary online presence).
  • Provider Profile URL in Incentise Web: Must be a valid Incentise provider profile URL (e.g. starting with https://www.incentise.com/ or your environment’s base URL).
  • Both are validated when you submit the form.

Best Practices

  1. Use accurate URLs

    • Use your real business or primary online presence URL.
    • Double-check the Incentise provider profile URL before submitting.
  2. Complete verification quickly

    • Check your email after submitting a claim.
    • Enter the verification code as soon as you receive it.
  3. Monitor your claims

    • Check the Claims dashboard for status updates and respond to verification requests promptly.
  4. Update only while On Process

    • Change claim details only while status is On Process.
    • For changes after that, contact support.
  5. Claim only what you own

    • Only claim a provider profile that represents your business and that you’re authorised to own.

Troubleshooting

“Please setting data as provider first”

Complete your provider setup. Go to Provider Profile and either set up a new profile or claim an existing one.

“Incentive program url not found” / “Provider profile URL not found”

  • Confirm the URL is complete and correct.
  • Ensure the provider profile exists on Incentise.
  • Use the full URL including the provider slug/identifier.

“Product / Service name not found” (or similar from API)

The backend may still refer to product/service in some messages. In this flow you are claiming a provider profile. Verify that the Provider Profile URL in Incentise Web points to an existing provider (vendor) profile page.

Didn’t receive the verification email

  • Check spam/junk.
  • Confirm the email in your provider account is correct.
  • Wait a few minutes, then contact support if it still doesn’t arrive.

Verification code not working

  • Enter the code exactly as in the email (no spaces or extra characters).
  • Check whether the code has expired.
  • Use the most recent code sent; if status is Wrong Verification Code, contact support.

Can’t edit the claim

Editing is only allowed when status is On Process. If the status has changed, contact support for changes.

Claim was declined

  • Read any reason provided by the admin.
  • Ensure URLs are correct and match your business.
  • You may need to submit a new claim with corrected information.

What Happens When Your Claim is Approved?

When an admin approves your claim:

  1. Ownership

    • The provider profile is assigned to your vendor account.
    • You can manage the profile and its incentive programs.
  2. Incentive requests

    • Existing incentive requests tied to that profile are transferred to you.
    • You become the recipient of related conversations.
  3. Incentive offers

    • Existing incentive offers are transferred to your vendor account.
    • Related conversations are updated.
  4. Distributions

    • Incentive distributions are updated to reflect your vendor ownership.
  5. Notification

    • You receive an email confirming the approval (and any extra message from the admin).
