What is the Claims Feature?

The Claims feature allows incentive providers (vendors) to establish and verify ownership of products or services that already have incentive request programs created on the Incentise platform. This feature ensures that only legitimate business owners can claim, manage, and respond to customer incentive requests associated with their products or services.

When you claim a product or service:

  • You establish ownership of the product/service listing
  • You gain the ability to manage the associated incentive program
  • You can respond to customer incentive requests
  • You become the owner of all related incentive requests, offers, and distributions

Prerequisites

Before you can create a claim, you must:

  1. Be registered as an Incentive Provider: You need to have completed your provider setup. If you haven't, go to Provider Settings to create your provider profile first.

Where to Find the Claims Feature

  • Location:

  • Access:
    The Claims dashboard is accessible from your provider dashboard navigation menu


Understanding the Claims Dashboard

When you access the Claims page, you'll see:

Dashboard Components

  1. Search Bar: Located at the top-left, allows you to search claims by:

    • Claim ID
    • Product/Service Name
  2. Pagination Controls:

    • Rows per page selector (5, 10, 20, or 50)
    • Page navigation buttons (Previous/Next)
    • Page number buttons for direct navigation
    • Display showing "Showing X to Y of Z entries"
  3. Add Claim Button: Located at the top-right, opens the form to create a new claim

  4. Claims Table: Displays all your claims with the following columns:

    • Claim ID: Unique identifier for the claim
    • Product/Service Name: Name of the product or service being claimed
    • Original Product/Service URL: Your product/service website URL (clickable link)
    • Incentive Request Program URL: The Incentise program URL (clickable link)
    • Status: Current status of the claim (with color-coded badges)
    • Created: Date and time when the claim was created
    • Updated: Date and time when the claim was last updated
    • Actions: Dropdown menu with available actions (Edit, Input Verification Code)

Claim Statuses Explained

Understanding claim statuses is crucial for managing your claims effectively:

Step-by-Step Guide

Step 1: Creating a New Claim

  1. Navigate to Claims: Go to https://incentise.com/provider/claims in your dashboard

  2. Click "Add Claim": The button is located at the top-right of the claims table

  3. Fill Out the Form:

    • Your Original Product/Service Website URL:

      • Enter the official website URL of your product or service
      • Must be a valid URL format (e.g., https://example.com or https://www.example.com/product)
      • This URL should match the domain of your business
    • Incentive Program URL in Incentise Web:

      • Enter the full URL of the incentive request program on Incentise
      • Format: https://www.incentise.com/incentive-program/product-name/id
      • You can find this URL by navigating to the incentive program page on Incentise
  4. Submit the Claim:

    • Click the "Create Claim" button
    • You'll see a success message
    • You'll be redirected back to the claims list
    • Your claim status will be "On Process"

Step 2: Editing a Claim

You can only edit claims that have the status "On Process". Once the status changes, editing is no longer available.

  1. Find the Claim: Locate the claim you want to edit in the claims table

  2. Open Actions Menu: Click the three-dot menu (⋮) in the Actions column

  3. Click "Edit": This opens the edit form

  4. Update Information:

    • Modify the Original Product/Service Website URL if needed
    • Modify the Incentive Program URL if needed
    • Note: The Incentive Program URL must start with https://www.incentise.com/
  5. Save Changes:

    • Click "Update Claim"
    • You'll see a success message
    • You'll be redirected back to the claims list

Step 3: Email Verification Process

After you submit a claim, the Incentise admin team will review it. If approved for verification:

  1. Receive Verification Email:

    • Admin will send a verification code to the email address associated with your provider account
    • The email will contain a numeric verification code
    • Check your inbox (and spam/junk folder if needed)
  2. Status Change: Your claim status will change to "Waiting Verification Code"

  3. Access Verification Page:

    • In the claims table, find your claim with status "Waiting Verification Code"
    • Click the three-dot menu (⋮) in the Actions column
    • Click "Input Verification Code"
    • You'll be taken to the verification page
  4. Enter Verification Code:

    • Enter the numeric code you received in your email
    • Click "Verify"
    • If correct: Status changes to "Pass Verification Code"
    • If incorrect: You'll see an error message and status may change to "Wrong Verification Code"
  5. Wait for Final Approval: After passing verification, wait for admin to approve your claim

Step 4: After Approval

Once your claim is Approved:

  • ✅ You become the owner of the product/service
  • ✅ You can manage the associated incentive program
  • ✅ You can respond to customer incentive requests
  • ✅ All related incentive requests, offers, and distributions are transferred to your vendor account
  • ✅ You'll receive email notifications about new incentive requests

Important Rules and Limitations

When You Can Edit or Delete

  • Can Edit/Delete: Only when status is "On Process"
  • Cannot Edit/Delete: When status is anything other than "On Process"

Verification Code

  • Verification codes have an expiration time
  • If a code expires, contact support or wait for admin to send a new one
  • Enter the code exactly as received (numeric digits only)
  • If you enter a wrong code multiple times, the status will change to "Wrong Verification Code"

URL Requirements

  • Original Product/Service Website URL: Must be a valid URL format
  • Incentive Program URL: Must be a valid Incentise URL starting with https://www.incentise.com/
  • Both URLs are validated when you submit the form

Best Practices

  1. Use Accurate URLs:

    • Ensure your product/service website URL matches your official business domain
    • Double-check the Incentive Program URL is correct before submitting
  2. Complete Verification Promptly:

    • Check your email regularly after submitting a claim
    • Enter the verification code as soon as you receive it (codes expire)
  3. Monitor Your Claims:

    • Regularly check your Claims dashboard for status updates
    • Respond promptly to any verification requests
  4. Keep Information Updated:

    • If you need to change claim details, do so while status is "On Process"
    • Contact support if you need to update information after the claim is processed
  5. Verify Before Claiming:

    • Make sure the product/service you're claiming actually belongs to your business
    • Ensure you have the right to claim it

Troubleshooting

Common Issues and Solutions

Issue: "Please setting data as provider first"

Solution: You need to complete your provider setup. Go to Provider Settings and complete your provider profile.

Issue: "Incentive program url not found"

Solution:

  • Verify the URL is correct and complete
  • Ensure the incentive program exists on Incentise
  • Check that you're using the full URL including the program ID

Issue: "Product / Service name not found"

Solution: The product/service associated with the incentive program doesn't exist. Verify the incentive program URL is correct.

Issue: Didn't receive verification email

Solution:

  • Check your spam/junk folder
  • Verify your email address in your provider settings is correct
  • Wait a few minutes (emails may be delayed)
  • Contact support if you still don't receive it

Issue: Verification code not working

Solution:

  • Ensure you're entering the code exactly as received (no spaces, no extra characters)
  • Check if the code has expired (codes have a time limit)
  • Make sure you're using the latest code sent to you
  • If status shows "Wrong Verification Code", contact support

Issue: Cannot edit claim

Solution: You can only edit claims with status "On Process". If your claim status has changed, you cannot edit it. Contact support if you need to make changes.

Issue: Claim was declined

Solution:

  • Review any reason provided by the admin
  • Check that your URLs are correct and match your business
  • Verify you have the right to claim the product/service
  • You may need to submit a new claim with corrected information

What Happens When Your Claim is Approved?

When an admin approves your claim, the following happens automatically:

  1. Ownership Transfer:

    • The product/service is assigned to your vendor account
    • The incentive program is assigned to your vendor account
  2. Incentive Requests Transfer:

    • All existing incentive requests for this product/service are transferred to you
    • You become the recipient of all related conversations
  3. Incentive Offers Transfer:

    • All existing incentive offers are transferred to your vendor account
    • Related conversations are updated
  4. Distributions Transfer:

    • All incentive distributions are updated to reflect your vendor ownership
  5. Email Notification:

    • You'll receive an email confirming the approval
    • Any additional messages from the admin will be included
