👥 Team Management
The Team section allows you to invite and manage team members who can help you run your business on Incentise. This is useful if you have employees, partners, or collaborators who need access to your account.
Overview​
Team Management features include:
- View Team Members: See all current team members and their details
- Search & Filter: Find specific team members quickly
- Invite Members: Send invitations to new team members
- Manage Invitations: Track and manage pending invitations
Viewing Team Members​
Accessing the Team Page​
- Navigate to Settings > Team
- You'll see a list of all current team members
Team Member Information Displayed​
For each team member, you can see:

| Email Address | Their registered email |
| Full Name | Their first and last name (if provided) |
| Role | Their role in your organization (e.g., Admin, Member) |
| Username | Their account username |
| Status | Whether they're Active or Inactive |
| Created | When they joined your team |
| Updated | When their information was last modified |
Searching Team Members​
- Use the search box at the top of the team list
- Type any part of their name, email, or username
- The list will filter automatically as you type
- Clear the search box to see all members again
Pagination​
| Feature | Description |

| Page Navigation | Use the pagination controls at the bottom to navigate |
| Items Per Page | Change how many members are shown (5, 10, 20, or 50) |
| Entry Count | Shows "Showing X to Y of Z entries" to help you navigate |
Inviting Team Members​
Accessing the Invitation Page​
- Navigate to Settings > Team
- Click the "List Team Member Invitations" button
- On the invitations page, click "Invite Team Member" button
- You'll be taken to the invitation form
Creating an Invitation​
- Enter the email address of the person you want to invite
- Make sure it's a valid email address
- The person must have an Incentise account with this email, or they'll need to create one
- Click "Send Invitation"
- Wait for the success message
- You'll be redirected to the invitations list
Invitation Process​

| 1. Send Invitation | You send an invitation to the email address |
| 2. Email Notification | The invited person receives an email notification |
| 3. Accept Invitation | They need to accept the invitation to join your team |
| 4. Team Access | Once accepted, they'll appear in your team members list |
Free plans have a limit on the number of team members. If you've reached your limit, you'll see an upgrade modal. Consider upgrading your plan to add more team members.
Managing Team Member Invitations​
Viewing Invitations​
- Navigate to Settings > Team
- Click "List Team Member Invitations"
- You'll see all pending and completed invitations
Invitation Status​
| Status | Description |
|---|---|
| Pending | The invitation has been sent but not yet accepted |
| Accepted | The invitation was accepted and the person joined your team |
| Expired | The invitation expired before being accepted |
| Cancelled | The invitation was cancelled |
Searching Invitations​
- Use the search box to find specific invitations
- Search by email address or name
- The list filters automatically as you type
Invitation Details​
For each invitation, you can see:

| Created | When the invitation was sent |
| Updated | When the invitation status last changed |
Resending Invitations​
If an invitation expires or needs to be resent:
- Go to the invitations list
- Find the invitation you want to resend
- You may need to create a new invitation if the old one expired
Team Member Roles​
Team members can have different roles that determine their access level:

| Admin | Full access to manage your business settings and operations |
| Member | Limited access for day-to-day operations |
| Viewer | Read-only access to view information |
Role management may be available in future updates. Contact support if you need to change a team member's role.

Team Member Management​
- Invite Trusted People Only: Only invite people you trust with access to your business
- Regular Audits: Review your team members list regularly and remove those who no longer need access
- Clear Communication: Inform team members about their responsibilities and access level
- Document Roles: Keep track of who has access and what they're responsible for
Invitation Best Practices​
- Verify Email Addresses: Double-check email addresses before sending invitations
- Timely Response: Ask invitees to accept promptly before invitations expire
- Follow Up: If someone hasn't accepted, reach out to confirm they received the invitation
- Clean Up: Cancel invitations that are no longer needed
Security Considerations​
- Limit Access: Only give team members the access they need
- Remove Inactive Members: Promptly remove team members who leave your organization
- Monitor Activity: Keep an eye on team member activity for any unusual behavior
- Update Roles: Adjust roles as team member responsibilities change
Troubleshooting​
Team Member Invitation Not Received​
Problem: The person you invited doesn't receive the invitation email.
Solutions:
- Verify you entered the email address correctly
- Ask them to check their spam folder
- Make sure the email address is associated with an Incentise account
- They may need to create an account first if they don't have one
- Try sending the invitation again
Can't Invite More Team Members​
Problem: You see an error or upgrade prompt when trying to invite.
Solutions:
- Check your current plan's team member limit
- Consider upgrading to a higher plan
- Remove inactive team members to free up slots
- Contact support if you believe this is an error
Team Member Not Appearing in List​
Problem: A team member who accepted an invitation doesn't appear in the list.
Solutions:
- Refresh the page to ensure the latest data is loaded
- Check if the invitation status shows as "Accepted"
- The invitee should verify they accepted the correct invitation
- Contact support if the issue persists
